Annual Renewal Checklist: Permits, Levy, Insurance & FOMEMA

Keeping your domestic worker's documentation current is your legal responsibility as an employer. Missing a renewal deadline can result in fines, an undocumented worker, or forced repatriation. Use this checklist every year.

1. Work Permit Renewal (PLKS)

The work permit (Pas Lawatan Kerja Sementara) must be renewed before expiry — typically every 12 months. Submit renewal via the Immigration Department's online portal (MyIMMs) or through a licensed agency. Required documents: passport (min. 18 months validity), FOMEMA clearance, valid insurance, levy payment receipt.

2. Government Levy Payment

Pay the annual government levy via myEG or CIMB Clicks. The rate varies by nationality — currently RM 590 for Indonesian workers. Keep the official payment receipt as it is required for permit renewal.

3. FOMEMA Health Screening

Annual FOMEMA screening must be completed at an approved clinic. Book via the FOMEMA portal (fomema.com.my). Results are available online within 2-3 weeks. Workers who fail must be repatriated within 14 days.

4. SPIKPA / SPPA Insurance

Renew the mandatory insurance policy annually. This covers hospitalisation, accidental death, and repatriation. Without valid insurance, permit renewal will be rejected. GLC Hire can facilitate insurance renewal on your behalf.

5. Passport Validity Check

The worker's passport must have at least 18 months' validity remaining for permit renewal. If the passport is expiring, the worker's embassy must renew it — this typically takes 4-8 weeks. Plan ahead.

6. Tax Clearance (if applicable)

Employers in the formal sector may need to declare the foreign worker's employment to LHDN. Check with your accountant if this applies to your situation.

Recommended Timeline

Start the renewal process 3 months before permit expiry. This allows buffer time for FOMEMA results, passport renewal (if needed), and insurance processing. GLC Hire clients receive a reminder 4 months before expiry and full renewal management as part of our post-placement service.
